Business Coaching process

From your first call to your quarterly review, here is exactly what happens and when. No surprises, no vague promises.

How an engagement unfolds

Most coaching relationships last between six and eighteen months. Some clients stay longer because they want accountability as they scale. Others finish in six months, implement on their own, and come back a year later for a tune-up. There is no lock-in contract. We work on rolling three-month agreements because if we are not delivering value, you should be free to walk away.

Free diagnostic call (30 minutes)

You book a call through our website or by phoning the office. We ask about your revenue, team size, biggest frustration and what you have already tried. This is not a sales pitch. We genuinely need to understand whether coaching is the right fit. About one in five callers gets referred elsewhere because their problem is better solved by an accountant, a marketing agency or a lawyer. We will tell you that honestly.

Business snapshot (week 1)

If we both agree to proceed, we send you a short questionnaire covering financials, team structure, customer segments and your personal goals. You fill it in before our first paid session. It takes about 45 minutes. We also ask for access to your profit-and-loss statement and your calendar from the past four weeks. These two documents reveal more about a business than any conversation can.

Deep-dive session (week 2, 2 hours)

This is our longest single session. We go through your snapshot data together, identify the three to five issues that are costing you the most money or time, and rank them by impact and effort. By the end of this session, you have a 90-day priority list. Not a wish list. A list of specific actions with deadlines and owners.

Fortnightly coaching sessions (ongoing)

Every two weeks, we meet for 60 to 90 minutes. The first half reviews what you committed to last session: what got done, what did not, and why. The second half tackles the next priority on your list. We keep a shared document that tracks every action item, its status and any blockers. Between sessions, you can email or text with quick questions. We respond within one business day.

Quarterly planning day (every 12 weeks)

Once a quarter, we set aside a full half-day (usually a Friday morning) to zoom out. We review your numbers against the goals set 90 days ago, celebrate wins, diagnose misses and set the next quarter's priorities. If you have a leadership team, we encourage them to join this session. It is often the only time the whole team stops to think about the business rather than work in it.

Review and renewal

At the end of each three-month block, we sit down and ask: is this still working? Do you need more support, less support, or a different kind of support? Some clients shift from fortnightly to monthly sessions as they gain confidence. Others add a team coaching component. We adjust the engagement to match where you are, not where you were when we started.

What to expect between sessions

Coaching works only if you do the work between meetings. We are not a substitute for effort. What we provide is structure, accountability and an outside perspective that you cannot get from your business partner, your spouse or your mates at the pub.

Between sessions you will typically spend two to four hours per week on coaching-related tasks: reviewing a financial report, having a difficult conversation with a team member, rewriting a job ad, testing a new pricing model. These are things you probably know you should be doing already. Our role is to make sure they happen on schedule and in the right order.

You also get on-call support via email or text. If something urgent comes up, a key employee resigns, a major client threatens to leave, you discover a cash-flow gap, you can reach out and we will schedule a 15-minute call within 24 hours.

Frequently asked questions

How much does coaching cost?

Our standard engagement is $2,200 plus GST per month, which covers two 60-to-90-minute sessions, one quarterly planning half-day (pro-rated across three months) and on-call support. We also offer a team coaching add-on at $800 per month for businesses with a leadership team of three or more.

Can sessions be done remotely?

Yes. About 60% of our clients meet via video call. The rest come to our office in North Jayden or we visit their premises. We find that video works well for fortnightly sessions, but the quarterly planning day benefits from being in person when possible.

What industries do you work with?

We have coached owners in construction, IT services, allied health, hospitality, e-commerce, professional services and manufacturing. The common factor is not industry but business size: we work best with companies turning over $500K to $10M with two to fifty employees.

How soon will I see results?

Most clients notice a difference in how they spend their time within the first month. Financial results typically show up between month three and month six. The biggest gains come from stopping unprofitable activities, which frees up cash and capacity for better ones.

What if it is not working?

We review progress at the end of every three-month block. If you are not seeing value, you can end the engagement with 14 days notice. We have a 91% retention rate across the first six months, but we would rather lose a client honestly than keep one who is not benefiting.
